Chaperone Duties/Student Safety & Behavior Guidelines

CHAPERONE DUTIES;

The overall role of a chaperone is to assist band directors during band events in order to accomplish a common goal of student safety.

Chaperones are asked to:
  • Check their e-mails and/or the band website to find out the time they are needed to arrive before each event.
  • Assist with the set-up and collection of seat cushions and help dispense water to the band members in the bleachers.
  • Carry the first aid kits  to and from the stands and dispense minor first aid when necessary (after checking the appropriate medical forms).
  • Be responsible for checking off students on the bus rosters before the buses leave the parking lots upon leaving the school and every time students return to the buses.
  • Collecting parent notes regarding special transportation instructions.
  • Check the buses for equipment, personal items, etc., after every band member has left each bus and place lost items on the table in the band room.
  • Monitor student behavior and report any major issues to the head chaperones who will report directly to the band directors so that they may handle any necessary discipline.
  • Return all name tags, rosters, and permission forms to the head chaperones at the end of each event.
  • Supervise and monitor activities such as hanging uniforms, helping the hospitality team, or the equipment crew, if needed.

​It is not the job of the chaperones to administer discipline.  They may remind the students of the appropriate behavior guidelines, then advise the head chaperones who will report to the band directors.  The directors and/or the school administration will administer the appropriate discipline for the situation.  

All of the volunteers are present for the benefit of the students and the Bearden High Band Program.  Working together with the directors and the various committee chairs, we can actively participate to make the Bearden Band a rewarding “family experience”.

NOTE:  Chaperones will be contacted by e-mail several days prior to events to be given details and/or itineraries.  They are responsible for replying to those e-mails or notifying head chaperones if their plans have changed and they are unavailable to work an event for which they have volunteered.  Advance notice is appreciated if possible.  Head chaperones are available to answer questions by e-mail.

STUDENT SAFETY AND BEHAVIOR GUIDELINES
  • Non-band members may not sit with the band in the stands.
  • Students must remain seated on the buses and may not sit backwards in the bus seats or lean over the backs of the seats.
  • Excessive noise is not permitted on the bus.
  • Undressing is not allowed.
  • Foul language is prohibited.
  • Inappropriate physical contact is not allowed.
  • Inappropriate conversation topics will not be allowed.
  • Students must listen to the bus driver for any other safety instructions.
  • Students will be addressed by the band directors or chaperones before leaving the buses in order to receive instructions concerning where to go, what to bring, what to do, what to wear, and /or when to return to the buses.  Students must listen carefully to these instructions.
  • Students must respect the adult volunteers who are helping with the band activities.
  • Students not returning on the bus from any band event ARE REQUIRED to bring a permission slip from a parent with the following information:  (1) Name and date of the event from which the student is leaving, (2) Name of parent/guardian the student is leaving with, (3) Phone number where the parent can be reached if verification is needed, and (4) Signature of the parent. This form MUST be given to a chaperone on that student’s bus when the child originally boards the bus to leave Bearden High. Additionally, student must make arrangements to have their uniform returned to the band room and their instrument unloaded and properly stored in the band room.
